“What do you mean when you say LeonardoMD is Web-based?”

LeonardoMD is a unique practice management solution in that it works completely out of a web browser. You never need to download or install any software; you simply log in from anywhere in the world and work in the system as though you are in the office.

There are no software installation problems, no network requirements, and the system can be accessed from any computer with a high speed Internet connection. There is also no charge for support staff usage, multiple office locations, or additional users.

“How much does LeonardoMD cost?”

LeonardoMD products are available on a monthly, quarterly, or annuallized subscription model. As an application service provider (ASP), LeonardoMD is able to offer premier products and services at a fraction of the cost due to economies of scale and continuously decreasing IT costs.

LeonardoMD Virtuoso Edition includes patient registration, appointment scheduling, billing, electronic claims submission, internal messaging, and CCHIT-certified point-and-click Electronic Health Record (EHR) complete with ePrescribing, eLab, and eFax integration. The monthly subscription for the Virtuoso Edition is $599, and the setup fee is $4,995 for the first provider and $1,000 for each additional provider. LeonardoMD will work with an unlimited number of users, computers, and locations. You can create as many users in the system as you need, and they can log into the system from any computer with an internet connection and internet explorer.

“Does LeonardoMD have electronic patient statements?”

LeonardoMD offers both patient statements that can be printed locally in your office as well as electronic patient statements which can be exported to a statement house.

“Does LeonardoMD have Electronic Remittance Advice (ERA)?”

We do offer ERA in HIPAA 835 HealthCare Payment Format (Form 835).

“Who is allowed to chart in the system?”

You are allowed unlimited user logins to LeonardoMD, and each one can chart in the system if given the security privileges to do so.

“Does your software include eFax?”

Electronic fax services can certainly be implemented with our software, but you must purchase the fax number from eFax separately.

“Is there a limit on the number of users in the system?”

There is no limit on the number of users that can be added to LeonardoMD, and there is also no limit to how many users can simultaneously be logged into the system.

“Is there a limit on the number of physicians in the system?”

There is no limit on the number of physicians that can be added to the system.

“How many locations can be supported by LeonardoMD?”

There is no limit to the number of locations that can be added to the system, and there is no cost for adding additional practice locations.

“How many Tax ID Numbers (TINs) can be supported?”

LeonardoMD will support multiple Tax ID Numbers, if necessary.

“Does LeonardoMD use Secure Sockets Layer (SSL) encryption?”

The SSL encryption protocol provides secure internet browsing and data transfer. LeonardoMD is committed to maintaining the highest standard of data security.

“Is LeonardoMD equipped to maintain separate security settings for separate practices?”

Yes.

“Can each office have its own administrator?”

Yes.

“Does LeonardoMD maintain an internal audit trail?”

Yes. LeonardoMD logs every action taken in the system with a user name and a timestamp. These logs are easily accessed through the relevant patient record, billing account, or user detail.

“Do LeonardoMD reports give you good summaries of information at top-level screens, or do you have to drill down to see details?”

LeonardoMD reports offer both data summary views and detailed line-item reports. In addition, you can use customizable list views to quickly review filtered and sorted data at-a-glance.

Yes, customizable day sheet reporting is included.

“Does LeonardoMD have Patient Aging reports?”

Yes, customizable procedure code reports are included. Currently, LeonardoMD does not offer diagnosis reports by doctor and location.

“Does LeonardoMD have billing reports by doctor and location?”

Yes, billing reports customizable by physician and office location are included.

“Does LeonardoMD have an efficiency report that details my staff’s activities?”

Yes, customizable activity reports are included.

“Can I export data from LeonardoMD to Excel?”

Yes, customizable exports to Microsoft Excel spreadsheets (*.xls), Adobe PDF documents (*.pdf), Rich Text Files (*.rtf), and plain text files (*.txt) are available.

“Are the ICD-9 and the CPT codes available online?”

Yes, LeonardoMD maintains the complete, updated diagnosis (ICD-9) and procedure (CPT) code sets on your behalf, at no charge. The diagnosis code set refers to the International Classification of Diseases, Ninth Revision (ICD-9), and the procedure code set refers to the Current Procedural Terminology (CPT).

“Will I be billed for services automatically, or will I be invoiced?”

You can choose to pay monthly, quarterly, or annually. LeonardoMD accepts all major credit cards (Mastercard, Visa, American Express, Discover), or you can choose to set up an Electronic Funds Transfer (EFT) through a checking account.

“Can LeonardoMD submit claims electronically?”

Yes, LeonardoMD provides the tools to electronically submit claims in 837 Professional format.

“Can LeonardoMD submit claims on paper?”

Yes, LeonardoMD provides automated tools to print claims on the Health Care Financing Administration (HCFA) form CMS-1500.

“Does LeonardoMD automatically update to include changes in the claims forms?”

Yes, LeonardoMD is committed to staying on the cutting edge of new developments in the health care industry, and is prepared for changes on claims forms months in advance.

“Does LeonardoMD do error-checking before the claims are submitted?”

Yes, when superbills are batched into claims in preparation for submission, LeonardoMD generates an exceptions report that outlines any potential causes for denial along with convenient links to the records related to the claim which need review or modification.

“Which clearinghouses does LeonardoMD currently support?”

LeonardoMD will work with any clearinghouse that you choose. We have partnered with two clearinghouses, Navicure and OPTUMInsight. LeonardoMD customers receive preferred pricing from these clearinghouses, and enjoy the benefits of our past experience when working with them.

“Does LeonardoMD support access via portable devices like Tablet PCs or PDAs?”

Yes. LeonardoMD will work with Tablet PCs just as on a regular workstation PC, and our soon-to-be released LeonardoMD Mobile application allows users to log in from internet-enabled PDAs and PDA-phones.

“Can LeonardoMD be customized for General Surgery practices or other specialized practices?”

Yes. LeonardoMD originated in servicing surgical and orthopedic specialties, but has since moved into servicing all manner of specialized practices nationwide. Practice settings and charting procedures are extremely customizable, and each user in the system has the ability to customize their own experience in the system independently.

“How many screens and clicks will I need to schedule an appointment?”

From one screen in LeoanrdoMD you can manage and view appointments, and scheduling new appointments is handled all from one screen as well, with as few as four clicks.

“I use an outside billing service; how do I set up access for them in LeonardoMD?”

Setting up a billing service is as easy as adding another staff member in LeonardoMD. All you need to do is give them a login to the system and set their access settings to your preference, and then your billing service can log in and work inside your system from their office as if they were sitting in your office.

“Where is my data hosted?”

Your data is stored at a secure, Tier-1 data storage facility in San Diego, CA. The storage area is under 24-hour armed guard, and several levels of authentication and biometric security prevent access by any unauthorized persons. LeonardoMD insists upon the highest industry standard for data security, and therefore utilizes 128-bit data encryption through Internet Explorer to transmit your data to you practice.

“Is my data secure?”

Your data is stored at a secure, Tier-1 data storage facility in San Diego, CA. The storage area is under 24-hour armed guard, and several levels of authentication and biometric security prevent access by any unauthorized persons. LeonardoMD insists upon the highest industry standard for data security, and therefore utilizes 128-bit data encryption through Internet Explorer to transmit your data to you practice.

“How long does it take to set up LeonardoMD?”

Your LeonardoMD website will be set up within 1 business day of receiving your order. The time necessary to train staff members to use the system varies practice to practice, but the average training time is two weeks.

“How do I learn how to use LeonardoMD?”

LeonardoMD offers several methods of learning how to use the myriad of available features in the system.

16 live training classes are each held once a week, and range from 30-75 minutes. Each class pertains to a specific set of features in the system, so any one person will only need to take 4 - 6 classes depending on which functionalities they will need to use. These classes are held online in a conference-call format, so you can see the instructor’s screen and speak with the instructor over the phone. At any time during the class, you will be encouraged to ask questions and review related features.

“Can I import my existing patient demographic information from my old system into LeonardoMD?”

Our policy is to give a quote for the data migration based on a sample of your data (usually be between $500 and $1,000), and then complete the service upon payment.

“Will you print and send paper patient statements for us?”

Currently, LeonardoMD does not offer this service. However, there are a number of services that will integrate with LeonardoMD to provide this functionality, and your implementation manager can help you select and implement such a service.

“What is included in the Professional Edition, and how much does it cost?”

LeonardoMD Professional Edition includes patient registration, appointment scheduling, billing, electronic claims submission, Electronic Health Record (EHR) charting features, and internal messaging. The monthly subscription for the Professional Edition is $300, and the setup fee is $2,500 for the first provider and $500 for each additional provider. LeonardoMD will work with an unlimited number of users, computers, and locations. You can create as many users in the system as you need, and they can log into the system from any computer with an internet connection and internet explorer.

“What is included in the Office Edition, and how much does it cost?”

LeonardoMD Office Edition includes patient registration, appointment scheduling, billing, electronic claims submission, and internal messaging. The monthly subscription for the Office Edition is $225, and the setup fee is $2,000 for the first provider, and $375 for each additional provider. LeonardoMD will work with an unlimited number of users, computers, and locations. You can create as many users in the system as you need, and they can log into the system from any computer with an internet connection and internet explorer.

“What is included in the Claims Edition, and how much does it cost?”

LeonardoMD Claims Edition includes patient registration, billing, electronic claims submission, and internal messaging. The monthly subscription for the Claims Edition is $150, and the setup fee is $1,500 for the first provider and $250 for each additional provider. LeonardoMD will work with an unlimited number of users, computers, and locations. You can create as many users in the system as you need, and they can log into the system from any computer with an internet connection and internet explorer.

“What is included in the Standard Edition, and how much does it cost?”

LeonardoMD Standard Edition includes patient registration, appointment scheduling, document storage, and internal messaging. The monthly subscription for the standard edition is $75, and the setup fee is $1,250 for the first provider and $250 for each additional provider. LeonardoMD will work with an unlimited number of users, computers, and locations. You can create as many users in the system as you need, and they can log into the system from any computer with an internet connection and internet explorer.

“Do we get charged per number of claims submitted, or is that included?”

LeonardoMD does not charge for claims submission. Since we let you use any clearinghouse that you like, our clients’ clearinghouse fees vary according to the clearinghouse they choose. Some are as high as $100/month, while others cost very little or are free. Our clearinghouse partners are Navicure and ENS, which run at $79/month and $49/month respectively.

“Do we get charged per number of ERAs, or is that included?”

LeonardoMD ERAs are included in the subscription fee; however, depending on your clearinghouse, there may be a monthly or per-use fee. Your implementation manager at LeonardoMD can help you choose a clearinghouse that will give you the best value for the volume that you will need.

“How much is it per electronic patient statement?”

There is no charge for paper patient statements, LeonardoMD does not charge for exporting electronic statements to a statement house.

“Since I choose the clearinghouse, do I have to shop around for that? Are those fees not included?”

That’s right. When you sign up for LeonardoMD, your site will bee activated within 24 hours and you will be assigned a personal implementation manager at LeonardoMD. Your implementation manager will be experienced with your specialty and can help you make decisions about clearinghouses, program customizations, data import, security settings, etc.

“How much will it cost if I want to use the EHR only?”

Currently, LeonardoMD does not offer our EHR solution separately from our practice management system, as we have built them together, integrated in one application (our EHR is not an add-on or a partnership with a third-party system). Therefore, the price for the Professional Edition will include all of the features of LeonardoMD, including EHR, billing, scheduling, messaging, and practice management features.
